Sirrond Limited is committed to protecting your privacy. We will use the information that we collect about you in accordance with the Privacy and Electronic Communications Regulations 2003, the Data Protection Act 1998 (DPA) and any replacement laws, and, from May 2018, the General Data Protection Regulation (GDPR).
It is important that you read this privacy policy together with any other privacy policy or fair processing notice we may provide on specific occasions when we are collecting or processing information about employers & students, so that you are aware of how and why we are using your information. This privacy policy supplements our other policies and is not intended to override them.

Who we are
Sirrond Limited is a private company that works with schools & academies to assist them with the management of work experience programmes.
What information do we collect?
We may collect, use, store and transfer different kinds of information about employers & students which we have grouped together as follows:
- Student Data includes first name, last name, tutor group.
- Employer Data includes contact details (first name, last name, job title, address, website, Employer’s & Public Liability Insurance details, email address and telephone numbers.
- Placement Data includes placement job title, role description, risk assessment, attendance requirements, meal arrangements, dress code.
We do not collect any Special Categories of Personal Data about Students or Employers -
How do we collect your information?
You give us your information when you complete a placement form or communicate with us.
We keep a record of the emails we send you, and we may track whether you receive or open them.
We do not keep details whenever anyone uses the Sirrond website. We do not use “cookies”.
We may also obtain information about you from other sources, for instance if a school, family member or friend contacts us on your behalf.
Third parties
Your information may be shared with schools and students who use our service.
How we keep your details safe and secure
Your personal data will be held and processed on the Link2 database, managed by Veryan Ltd on behalf of Sirrond Limited and our client schools/academies. We always seek to hold your data securely. Access to student & employer information is strictly controlled. The Link2 database can only be accessed by people who need it to do their job.
Our basis for processing information and what we use it for
We aim to communicate with you about the work that we do in ways that you find relevant, timely, respectful, and never excessive. To do this, we use data that we have stored about you, such as which placements you have previously provided.
We use our legitimate organisational interest as the legal basis for communications by post and email, either directly or by the schools/academies and students with whom we work.
Disclosure of information to third parties
There are certain circumstances under which we may disclose your personal information to third parties. These are as follows:
- To schools/academies and students who have contracted to use our services. We require all third parties to respect the privacy of your personal information and to treat it in accordance with the law. We do not allow our third-
party service providers to use your personal information for their own purposes and only permit them to process your personal information for specified purposes and in accordance with our instructions. - Where we are under a duty to disclose your personal information in order to comply with any legal obligation (for example to government bodies and law enforcement agencies).
We do not sell personal details to third parties not contracted to Sirrond Limited for any purpose.
Data/Information Security
We have put in place appropriate safeguards (both in terms of our procedures and the technology we use) to keep information as secure as possible. We will ensure that any third parties we use for processing information do the same and that they will only process information on our instructions.
We will not transfer, process or store data anywhere that is outside of the European Economic Area, unless we have a contractual agreement in place that is of an equivalent standard to GDPR.
Retaining data
We will only retain data for as long as necessary to fulfil the purposes we collected it for, including satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for data, we consider the amount, nature, and sensitivity of data, the potential risk of harm from unauthorised use or disclosure, the purposes for which we process data and whether we can achieve those purposes through other means, and the applicable legal requirements.
Your rights
Under the DPA you have the following rights:
- to obtain access to, and copies of the data that we hold about you;
- to require that we cease processing your data if the processing is causing you damage or distress;
- to require us not to send you marketing communications.
- Once the GDPR takes effect in May 2018, you will also have the following additional rights:
- to require us to correct the personal data we hold about you if it is incorrect;
- to require us to erase your personal data;
- to require us to restrict our data processing activities (and, where our processing is based on your consent, you may withdraw that consent, without affecting the lawfulness of our processing based on consent before its withdrawal);
- to receive from us the personal data we hold about you which you have provided to us, in a reasonable format specified by you, including for the purpose of you transmitting that personal data to another data controller;
- to object, on grounds relating to your particular situation, to any of our particular processing activities where you feel this has a disproportionate impact on your rights.
Please note that the above rights are not absolute, and we may be entitled to refuse requests where exceptions apply.
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal information (or to exercise any of your other rights). This is a security measure to ensure that personal information is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
We try to respond to all legitimate requests within one calendar month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
